Event Management- All Status Types Included

Create & Edit Event Orders No Filter

Event statuses define the lifecycle stage of an event within the system. They help control how events behave, what actions are allowed, and how they appear in reports and operational workflows. Properly configuring and using event statuses ensures accurate tracking, reporting, and operational efficiency across your organization.

Key Areas on Screen:

  • Event Header (Event Name, Date, Client)
  • Status Dropdown Field
  • Save/Update Button
  • Related Operational Tabs (Orders, Staff, Inventory)

To add an order:

  1. Go to Sales & Marketing on the left side panel.
  2. Click Event & Order Management.
  3. Click Event Management - All Status Types Included.

  4. Click New Entry.

  5. Once the event windows open: you´ll need to add the customer´s information, in the image below is highlighted the information needed:
  • In the Event Info Tab, you´ll need to enter the event details: Event´s date and time, Total of guests,  event Type, Event Name, Event Status, Type of Seating and Event Location, additionally you can  add files to the event, in the Event Files section, once you have completed this tab, click on Save

  • The Delivery Tab displays the information related to the event´s address and delivery information for Equipment, Food and Pick Up, in case you need to modify or update any information about the address or delivery, you can do it directly on this window

  • In the Order Details Tab, you´ll see the different departments: Recipe, Beverage, Equipment, Staff and Miscellaneous, here you´ll be able to add the items needed for the event, once the item is added to the event, the item will be displayed in the Order Review box:

  • In the Proposal Tab, you´ll be able to create an event´s draft for a customer, then the draft becomes a Proposal for a client, the items added to the proposal can be modify at any time and the information won´t be sent to Kitchen, how to create a Proposal, click on the Revenue column, a drop-down menu will display all the available departments, select one, next in the item column, click on a blank space a drop-down menu will display with the available option:

How to create items for a Proposal: Go to General Setup, click on Marketing, navigate to the second page, select Proposal Items, you can edit the existing data or create new data by selecting on New Entry:

  • In the Financial Tab, we have 4 different sections, the first section you can find details about the payment with and without taxes, if updates were made in order details, sometime we need to press Recalculate Financial so the window can do a refresh and show the most recent numbers, in the second section we have the payment schedule information, when a payment is process system shows the percentage applied to each payment:

Third section, you´ll see the Revenue Code Breakdown with details, the columns reflect the following information: Invoice, Invoice Tax, Tax %, Discount %, Budget, Actual, Service Charge, Grautity Amount, Commission Amount, Damage Waiver, Fuel Charge, State, Jurisdiction, Edited By, Date/Time, Add´l Tax%, Actual Add´l Tax and Billed Add´l Tax.

Fourth section: 
you´ll see the information related to Discounts and Price adjustment, in this section you can apply discount to the different Revenues, make a Price Adjustment, Gross Profit Analysis and Adjust Commission

      6.  In the Billing Tab, you´ll have the option to enter the customer´s personal information, the                                 highlighted options will let you know which fields you need to fill out: 




The Event Status field is typically located in the main event header or event details section.
 

To edit an order: 

  1. Go to Sales & Marketing on the left side panel.
  2. Click Event & Order Management.
  3. Click Event Management - All Status Types Included.

  4. Click the pencil icon on the Action column.

  5. Edit the desired information, once finished click on Save



To see reporting:

  1. Go to Sales & Marketing on the left side panel.
  2. Click Event & Order Management.
  3. Click Event Management - All Status Types Included.

  4. On “Dates From” and “To”, select the dates of the report to view.

  5. Click on Refresh.

  6. Click on the drop-down “Select Reports...” and select the report you want to view. 

  7. Click on the Check boxes to select the report or reports you want to export. 

  8. Click Print to and select how you want to view the report.
