# What is QuickBooks and how to use it?

## QuickBooks is a business management and accounting software designed to simplify financial tasks for small and mid-sized businesses. It allows users to track income and expenses, create invoices, manage payroll, handle bills, and monitor cash flow efficiently, saving time and reducing errors in financial management. QuickBooks is widely used across industries such as retail, construction, healthcare, nonprofits, and professional services.

Before starting using QuickBooks in Elecate, make sure to review the following AppSettings:

- AccountingExport, this AppSetting has already a value by default.

![](https://faq.elecate.com/hs-fs/hubfs/image-png-May-04-2026-08-49-47-5556-PM.png?width=670&height=190&name=image-png-May-04-2026-08-49-47-5556-PM.png)

- GLSalesTaxAccountCode, for this AppSetting the user needs to have a Sales Tax account, they need to enter that name on here.

**Reminder:** Please verify the **Event Status** configuration before reviewing the Accounting Window. If the **Is Accounting Export** flag is set to **OFF** for a particular event status, events with that status will not appear in the **Accounting Window**. This setting must be enabled for the event status to be included in accounting processing.

How to check if the **Event Status** has the **Accounting Flag ON:**

1\. On the Left side panel, go to **General Setup**

2\. Click on **Marketing**

3\. Select **Event or Order Status**

![](https://faq.elecate.com/hs-fs/hubfs/image-png-Aug-31-2026-05-13-54-5629-PM.png?width=670&height=288&name=image-png-Aug-31-2026-05-13-54-5629-PM.png)

As shown in the screenshot below, there is a column called **Is Accounting Export**. This column indicates whether events with a particular status will be displayed in the **Accounting Window**.

Users can turn this flag **ON** or **OFF** for each event status:

- **ON**: Events with that status will appear in the **Accounting Window**.
- **OFF**: Events with that status will be excluded from the **Accounting Window**.

This setting provides control over which event statuses are available for accounting processing and exports.

##### **Common error messages when exporting customers, sales or cash receipts:**

If a user attempts to export sales before the customer has been exported, the system will display an error message indicating that the customer record is not available in the accounting system.

To resolve this issue, first export the customer successfully, then retry the sales export. Once the customer exists in the accounting system, the sales export should complete successfully.

![](https://faq.elecate.com/hs-fs/hubfs/image-png-Aug-31-2026-03-06-35-4030-PM.png?width=670&height=298&name=image-png-Aug-31-2026-03-06-35-4030-PM.png)

When exporting sales, if you encounter the following error message, first verify in **Elecate** whether the referenced **Revenue Code** exists in the database.

- If the Revenue Code does not exist, create it in Elecate.
- If the Revenue Code exists in Elecate but is missing from the **QuickBooks Integration**, create the corresponding Revenue Code within the integration.

Once you have confirmed that the Revenue Code exists in both Elecate and the QuickBooks Integration, you can proceed with the export process.

Before exporting the Events to Quickbooks, you need to make sure that the event status  has the exporting flag ON, how to check that:

On the left side panel, go to **General Setup**

Click on **Marketing**

Select **Create and Edit Event or Order Status**

![](https://faq.elecate.com/hs-fs/hubfs/image-png-Sep-29-2026-10-13-36-6054-PM.png?width=670&height=294&name=image-png-Sep-29-2026-10-13-36-6054-PM.png)

User will deside which event status they want to export Quickbooks:

![](https://faq.elecate.com/hs-fs/hubfs/image-png-Sep-29-2026-10-18-23-9259-PM.png?width=670&height=312&name=image-png-Sep-29-2026-10-18-23-9259-PM.png)

If the user needs to confirm this information by checking the event, they just need to open the event, go to Billing Tab and under Billing Details, the information is available, the exported status will show in Green:
