Release Notes 8.13.26 (Release 87):

Enhancements:

1.Wanting that "Event Location" will be lock after a department has been submitted to an event:

The Event Location field is now automatically locked once any department submits order details for an event. This prevents changes that could impact submitted allocations, quantities, and related calculations, helping maintain data accuracy and consistency.

The field becomes editable again only if all submitted departments are returned to the Sales department (or their pre-submission state).

1. On the left side panel, go to Sales & Order Management

4. Open an event by clicking on the pen icon, go to order details submit a department, then go to the Event Info Tab, check if the location field is locked: 

2. Having a date controller & extend the grid view for the records on the "Equipment Usage" modal window:

Several enhancements have been implemented to improve data visibility, filtering, and user experience across the Usage By Month & Year (Confirmed Events) and Where Used in Events tabs.

Reporting tabs have been enhanced with date range filters, expanded record visibility, and customizable pagination options. Users can now personalize their grids through Grid Persistence, which saves column arrangements and grouping preferences between sessions.

Additional improvements include a new Cost Center column in Where Used in Events and the ability to open Equipment Usage records directly from the grid, providing better visibility and a more efficient user experience.

3. Select Equipment Usage (Active Items Only)

3. Being able to edit Event Customer Notes when AllowEditingCustomerNotes is set to Yes:

 Users can now edit and save Customer Notes directly from the Event Window while maintaining existing log titles. To preserve audit integrity, system-generated information such as User and Date fields remains read-only and cannot be modified. 

1. Go to Sales & Marketing from the side menu

2. Select Event & Order Management from the side menu

3. Select "Event Management - All Status Type" or any other Event view

4. Open an existing record

5. In the First tab, select the Marketing Info area and expand that area

6. Click on the Magnifying Glass icon to open the Customer Notes

7. A new pop-up window will appear

4. Enabling Send Email to the Reports options in the Staff Window:

 A new Send Email option has been added to the Print To menu in the Staff Production Scheduling by Event window. Users can now send generated reports directly via email using the standard Send Email interface, making report distribution faster and more convenient.

2. Click on Event Staffing

3. Select Staff Production Scheduling

4. Open an event from the Calendar

5. Choose a report from the report field and in the Print To button

5. Migrate and enable the LockConvenienceFeeRecords appSetting in Elecate:

A new LockConvenienceFeeRecords setting allows organizations to control whether convenience fee records can be modified. When enabled, convenience fee records become read-only and cannot be edited or deleted. When disabled, authorized users can manage these records normally.

This enhancement helps protect convenience fee data from unintended changes while providing flexible administrative control.

3. Select "Event Management - All Status Type" or any other Event view

4. Open an existing record

5. Go to Order Details and add the Miscellaneous Items:

 The quantity and price fields are not available in the bulk editing modal window when the "Miscellaneous" item corresponds to a management commission.

 All items will be affected by the bulk transactions, except those with a management fee.

6. Wanting completed ACH and credit card payment amounts to be locked against manual changes, so that processed transactions remain consistent with the payment processor and financial records:

Completed ACH and Credit Card payment records are now protected from modification after processing. Original payment amounts and related payment details are displayed as read-only, preventing users from altering processed transactions and helping maintain payment integrity. Authorized users can still perform Void, Refund, or Partial Refund actions in accordance with existing payment processing rules. This enhancement improves auditability while preserving necessary payment management capabilities.

4. Open an event by clicking the Edit (pen) icon. Navigate to the Financial tab and verify whether a payment has already been processed. If no payment exists, process a payment. Then, in the Payment Schedule section, attempt to edit an existing payment record. The following field should be disabled, as shown in the image below: 

Bug Fixed:
1. When locking an event on the payroll management window, it will erase the rates from the records:

 An issue affecting payroll rates after an event was locked has been resolved. Payroll rates, calculations, and related financial data are now preserved exactly as saved, ensuring that locking an event does not modify, reset, or remove any payroll information. This fix improves data integrity and guarantees accurate payroll reporting after the event lock process.
