How to use: 25Live

Setting Up and Using the 25Live Integration

The 25Live integration allows Elecate to synchronize information from a connected 25Live Service Account. This includes Customers, Organizations, Event Types, Rooms/Spaces, and Events.

Before importing information from 25Live, the integration must first be enabled and the corresponding 25Live Service Account credentials must be configured in Elecate.

Enabling the 25Live Integration

1. Go to Administration.
2. Select App Settings.
3. Search for the following App Setting:Enable25LiveImportServices
4. Open the App Setting and make sure the AppSetting Value is set to:Yes

   When this setting is enabled, Elecate can synchronize Customers, Organizations, Event Types, Rooms, and Events from 25Live.

1. Save the changes.

Adding the 25Live Service Account Credentials

Once the integration has been enabled, the 25Live Service Account must be connected to Elecate.

1. Open the Setup Client window.
2. Select Application Integration Set Up from the menu on the left.

1. Locate 25Live in the list of available integrations.
2. Click the key icon under the Actions column.
3. Enter the following 25Live Service Account information:
   • Username
   • Password
   • Instance Name

1. Click Save & Close.
2. Once the credentials have been successfully validated, the Connection Status for 25Live will display as Connected.

Configuring the 25Live Event Synchronization Schedule

Elecate can automatically synchronize 25Live events several times throughout the day.

1. From Setup Client → Application Integration Set Up, locate the 25Live integration.
2. Click the settings/gear icon under the Actions column.
3. The Event Schedule Sync Set Up window will open.

1. In Synchronize events times per day, select how many times Elecate should synchronize events from 25Live each day.
2. Configure the time for each synchronization in the corresponding Time Slot Schedule fields.For example, the walkthrough demonstrates four daily synchronization times:
   • 9:00 AM
   • 11:00 AM
   • 1:00 PM
   • 5:00 PM
   Note: Synchronization times must be configured using exact hours.
3. Click Save & Close.

Manually Importing Information from 25Live

In addition to the scheduled event synchronization, authorized users can manually import information from 25Live.

When performing a manual import, Elecate allows you to specify the date from which information should be imported. The import window also displays information about the previous synchronization when available.

Importing 25Live Spaces

25Live Spaces are imported into Elecate as venue locations.

1. Go to Sales & Marketing.
2. Select Event Venue Management.
3. Open the venue/location management screen.

1. Select the option to Import 25 Live Spaces.
2. In the Import From Date field, select the date from which Elecate should begin importing Spaces.

1. Click Import.
2. Once completed, the imported Spaces will appear within Elecate's venue/location records.

Importing 25Live Organizations

Organizations created in 25Live can also be imported into Elecate.

1. Go to Sales & Marketing.
2. Select Customer (CRM).
3. Select Organization Management.

1. Select the option to Import 25 Live Organizations.
2. In the Import From Date field, select the starting date for the import.

1. Click Import.
2. The imported Organizations will then be available within Organization Management.

Importing 25Live Customers

Customers associated with 25Live can be synchronized with Elecate's Customer Management records.

1. Go to Sales & Marketing.
2. Select Customer (CRM).
3. Open the corresponding Customer Management screen.
4. Select the Import 25Live Customers option.

1. Select the appropriate Import From Date.
2. Click Import.
3. Once the import has finished, the customer records will be available in Elecate.

Importing 25Live Event Types

Event Types configured in 25Live can be imported into Elecate.

1. Navigate to Settings
2. Navigate to Financial SetUp
3. Navigate to Event Type Management.
4. Select the option to import Event Types from 25Live.
5. Select the appropriate Import From Date.
6. Click Import.

1. Imported Event Types will appear in the Event Type Management list.

Event Types imported through the integration can be identified by 25Live in the Created By column.

Important Notes

• The Enable25LiveImportServices App Setting must be set to Yes before the 25Live integration can be configured.
• A valid 25Live Service Account is required.
• The 25Live integration should display a Connected status before attempting to synchronize information.
• Customers, Organizations, Event Types, Spaces, and Events can be synchronized from 25Live.
• Manual imports allow users to select an Import From Date.
• Events can also be automatically synchronized according to the schedule configured under Event Schedule Sync Set Up.
• When configuring automatic event synchronization, synchronization times must use exact hours.
